FUNCTION OF WORK:
Supervise staff who provide case support for correctional and/or public safety services by assisting with case supervision, database management, and investigation reports.

LEVEL OF WORK:
Supervisor

SUPERVISION RECEIVED:
General from Probation and Parole Supervisor. Other reporting relationships may be approved by SCS.

SUPERVISION EXERCISED:
Direct supervision over Probation and Parole Administrative Officers.

JOB DISTINCTIONS:
Differs from Corrections Support Specialist 3 by the presence of direct supervisory responsibility.

Differs from Probation and Parole Officers by the absence of the requirement to handle and carry firearms and no direct authority over adult cases or individuals under supervision.

EXAMPLES OF WORK:
EXAMPLES BELOW ARE A BRIEF SAMPLE OF COMMON DUTIES ASSOCIATED WITH THIS JOB TITLE. NOT ALL POSSIBLE TASKS ARE INCLUDED.

Assigns daily workflow and ensures appropriate coverage for front desk, intake, document handling, and compliance tracking.

Trains staff in fingerprinting, file assembly, legal document review, and electronic records procedures.

Audits file quality, document accuracy, and hearing packet completeness.

Coordinates communication between officers, hearing staff, and external agencies to ensure proper document flow.

Tracks team metrics such as intake volume, packet turnaround, and document error rates.

Coordinates and manages ACA accreditation with the District Manager.

Reviews and signs off on revocation and clemency packets before submission to the Board or courts.

Resolves escalated issues related to delayed documentation, incomplete applicant files, or conflicting case records.

Assists in resolving document delays, supervision file discrepancies, or case entry errors.

Reports operational status and staffing needs to management; provides feedback on performance and training gaps.

QUALIFICATION REQUIREMENTS:
MINIMUM QUALIFICATIONS:
Three years of the required experience for the following minimum qualifications must have been in a corrections or law enforcement setting:

Six years of experience in administrative services; OR

Six years of full-time experience in any field plus three years of experience in administrative services; OR

A bachelor's degree plus three years of experience in administrative services.

EXPERIENCE SUBSTITUTION: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field
